ACT 1 – THE ROLE 

Provide a welcoming, friendly and helpful service to all visitors and team members of Vue Entertainment. To effectively manage the switchboard operation and maintain high standards of appearance and cleanliness in the reception area which demonstrates Vue’s corporate vision, values and culture.

To support the PA to the UK MD with the office management of Chiswick Park and ensure that all areas of the building are safe, clean, fully functioning and secure environment that reflects our culture.

Key Accountabilities:

Reception/Administration

  • To ensure that reception is covered at all times between the hours 08.00am-6:00pm and that a first class, efficient and friendly service is delivered to our guests
  • Ensure the reception area always looks clean, tidy and meets the company standards
  • Ensure that the switchboard is working effectively and all incoming calls are answered within an acceptable time and standard
  • To be responsible for ordering flowers, cabs, couriers, refreshments or food for meetings, kitchen supplies, post-room equipment, stationery, photocopier supplies (e.g. toners, paper) and any other supplies as requested
  • To ensure any expenditure is recorded, coded correctly and reconciled against the relevant invoices when they arrive
  • To process any relevant invoices and ensure purchase orders are raised correctly and on time
  • To ensure that all central communication/contact lists are kept up to date (e.g. company and Chiswick Park telephone lists)
  • To carry out general administration duties, as requested by your line manager

 

Shared areas

  • Ensure Reception area is immaculate at all times
  • Liaise with cleaners and head office employees to ensure that the kitchen area is clean, tidy and fully equipped with necessary supplies and proactively manage any issues that arise
  • Ensure that all required kitchen utensils and cleaning products are always available
  • Manage the post-room to ensure that all incoming and outgoing mail is dealt with in an effective and efficient manner
  • Ensure that all shared areas are clean and tidy
  • Ensure that all meeting rooms are maintained and meet company standards at all times

 

General office

  • Support the PA to the UK MD with any general office management and resolve problems related to furniture
  • To assist PA to UK MD with any ad hoc projects and other administration tasks when required

 

Office equipment

  • Liaise with Tech Services and Facilities departments to resolve issues relating to office equipment, e.g. switchboard, photocopiers and any other office equipment

ACT 2 – WHAT YOU’LL NEED

Essential

  • Previous experience managing visitors in to a corporate environment
  • Previous experience of working within a reception and/or switchboard environment dealing with incoming customer calls
  • Previous experience working within a fast paced, mutli-site, customer facing business
  • Able to demonstrate strong administration experience

  • Excellent written and verbal communication skills

  • Accurate typing speed
  • Exceptional telephone manner with the ability to command respect
  • Strong relationship building and relationship management skills
  • Strong influencing skills
  • IT literacy
    • Excel; able to collate and present data using Excel
    • PowerPoint; able to create presentations
    • Word; able to create compelling proposals
