ACT 1 – THE ROLE

We have an opportunity for a Property Management Assistant to join our UK and Ireland Property Department for a period of six months. Reporting into the Senior Property Manager the Property Management Assistant will provide key administration support to the team and act as the first point of contact for all queries relating to property from sites, internal departments within head office, External Consultants and Landlord Property Teams.

Main Responsibilities include:

  • Efficiently managing all correspondence, emails and telephone calls for the Property department
  • Coordinating department activity, including departmental meetings, and organising information related to the property department
  • Along with the Property Manager, acting as the first point of contact on all day to day basis for estate matters, escalating issues as required
  • Ensuring that the Facilities department (part of the Operations team) has access to up to date and relevant information regarding Landlords
  • Following up on estate management issues with Area Managers and Landlord’s management teams
  • Keeping all property deeds/records up to date and appropriately indexed, maintaining an up to date filing system
  • Maintaining the central property database
  • Managing Landlord, rent, rates, service charge and insurance details
  • Owning and managing the development database for UK&I ensuring that it is up to date and relevant
  • Overseeing invoice processes and procedures, ensuring they are controlled, maintained and developed within the department
  • Following up with the relevant Landlord agents when invoices are missing
  • Managing and maintaining the tracker document for business rates and liability payments, liaising closely with external rating advisors and accounts payable team

ACT 2 – WHAT SKILLS AND EXPERIENCE YOU’LL NEED

  • Proven experience as a property coordinator/administrator within a head office within the retail, leisure or hospitality sector
  • Strong and relevant knowledge about the property market
  • Proficiency in property database systems
  • Proficiency in MS Office applications
  • Excellent written and verbal communication skills
  • Able to establish and maintain good relationships with colleagues and external suppliers at all levels
  • Great attention to detail with a focus on the accuracy and quality of work through to completion
  • Strong planning and organisation skills , able to  prioritise and plans activities, maximising the use of time
  • Good sense of humour!
